SDPHC Business Meeting Minutes 5/16/07

Coming Out Party
This Saturday at Mariner's Point! May 19th Tickets are $10 before hand or $15 at the gate. It runs noon – 10pm.

Rock N Roll Marathon
1st weekend in June 3rd --- we are waaaaaaay behind in volunteers. So far only 60. That is 25-30 people short of what we need to manage 40 tables. We have enough people for 4:30am, just people for the 6am slot. We should be done by 11am since they're opening Morena blvd at 10:45am. John Bowe is playing the music again. We're going to have a bigger generator this year to handle all of our power needs. The concert is Seal, playing at Cox arena at SDSU. And they are offering discount tickets to the Padres game. Last year we won $1000 for 2nd place for best water station. And we have some stiff competition this year from the boy scouts. Wear your Hawaiian gear and leis!!

Charity Pub Crawl
It's sold out!! But we are taking names for the waiting list. Give Janice your name if you want to get on the list. The charity is Challenged America. We will have a silent auction and raffle at the after party at Paradise Bar & Grill. If you have donations for this, please let us know. John Bowe will play at the after party. If you want to help set up for the after party (not on the pub crawl), arrive at the grill at 5pm. The pub crawl participants will arrive around 6pm.

Over The Line
We've paid for 7 teams to enter the tournament. We're still doing practices at Mariner's Point on Thursday's at 5pm.

We will have a volunteer list to set up, work the compound, and break down the compound. We'll need a commitment of volunteers. We will be there both days the first weekend and Sat the second weekend. We brought in new members and renewals. And we raised over $1100 dollars, but our outgoing expenses were over $2100. We had few volunteers – six primary volunteers and some help. Do we really need/want to be there on the second Saturday? Most of our games are played that day. We can leave the fencing and port-a-poties. But we need more help to keep the compound open the second weekend. So let's make a decision next meeting as to whether or not we'll be there the second Saturday. Bob raised a motion that if you play for a parrot head team, you have to volunteer for at least one 2 hour shift on the compound. (Set up does not count.) The motion passed unanimously. We need people for security, membership, merchandise, and the bar. If you are willing to volunteer, contact Janice to let us know.

Migration
In Las Vegas this year, the last weekend in July (weekend after OTL). If you are interested, you can register on the Migration website. Room rates are going up, so get in earlier. Huge band line-up. A lot of SDPHC members are going.

Chili Cook-Off
Also the same weekend as Migration – on the Saturday 7/28. It's a charity event. And you can enter your chili recipe or just go to taste. See the e-newsletter for details.

Little Race for Little People
We are attending again. Rick Santos is chairing it. Date is TBD but the middle of August. And we'll need volunteers for that event. We'll sponsor 2-3 boats. Part of that is contingent on what we raise at Over The Line.

Anniversary Party
We've sold 55% of the camping sites. Campland is sold out that weekend. So if you are interesting in camping, you'll need to contact Janice ASAP. A number of members are renting an RV, so we expect we've met the minimum number to get the 15% discount.

It's never too early to start looking for silent auction and raffle prizes for the anniversary party. We really need items. We have donation letters and forms.

Unfortunately some of our connections are gone. Buffett and Corona are not tied together. The OC rep for Margaritaville Tequila has left the company. There is a new person, but we've not met the person. So we really need your help for donations.

PHIP & MOTM
Nov 1-4 in Key West. Registration is open. Usually by the middle of June the event is sold out. So go to the PHIP website to register.

Merchandise
We have to order shirts for OTL and the Anniversary Party. Last year we did red, denim, and kacky. Janice said that the charcoal is a huge seller at her store. And the pirate ship shirt has been so popular. Men's tanks have been really big. And women have been asking for spaghetti strap shirts with the club logo or a pirate logo on it (surrender the booty logo). So we are going to do both. But we need to decide on the design.

June 13 – Rock Bottom Brew Master Dinner
Funds support Randall Clark. Pirate theme. Food will be Caribbean style. Cost will be around $35. Exact menu is still TBD, but there is a vegetarian option if desired. More information TBD in the e-newsletter.

The runners will now be approaching SDPHC from the SOUTH. Our station is at Mile 14 -- just over halfway thru the marathon. We will be the first water station runners hit after the half-marathon milestone. The previous station is at Mile 12, so we get hit hard. We still get to show up 4:30 AM, but get to go home (or party) earlier. They will be opening Morena Blvd around noon. We are looking for volunteers. We need about 80-100, last year we had 40 water tables. You are receiving this message, because you were a wonderful person, who in the past gave up a Sunday for a good cause. Hi Parrot Heads,
It's that time of the year again. The Rock & Roll marathon is only a few months away, and we need to start getting everyone signed up. We will be having the same water stop as last year. I am hoping you will do the same this year. For three of the last 4 years, we have had the best water stop on the course, that is because we have the best volunteers. To show we have the best volunteers and water stop, Elite given us excellent billing on their web page for the water stops. You can see this by clicking on the link http://www.rnrmarathon.com/volunteer/volunteer_waterstations.html

Parrot Heads,

It's that time of the year again. The Rock & Roll marathon is a little more than a month away. Thank you to the 34 who already have signed up! But we need more volunteers. Our stop has 40 tables. We need 80-100 people in order to provide the wonderful service we have become known for.

Elite prefers that we register online, it makes their job a little easier to keep track of the volunteers. You can register online by clicking this link:

http://www.elitevolunteer.com/er/signup_form1.php?event_id=142&group_id=520.

This is a direct link so you don't have to specify the San Diego Parrot Head Club. You will see only two screens. Very easy! After you have registered online, please email me that you will be available on Sunday, June 3rd.

For three of the last four years, we have had the best water stop on the course. That is because we have

We still get to show up 4:30 AM, but get to go home (or party) earlier. They will be opening Morena Blvd around 11:00.

This year the concert will be held behind the Cox center at SDSU, instead of at Coors. The headliner is still to be named. And Elite is also offering a discount to the Padre game on June 5th. All of is in addition to the tee shirt. :)

Remember, working the waterstop gives points toward concert seats for Buffett.

Thanks in advance for your help.
