Anniversary Party Re-capWe raised $12,100, our second highest raised during an auction. However, the bids were quite low this year. We attribute this to two issues: 1) so many items (340+) that the bids were diluted; and 2) we did not write minimum bids on the bid sheets. The second reason was due in part to the fact that we were significantly understaffed for silent auction. It took us four hours to set up. And we had a record number of items brought the day of the auction that we didn't know about prior to the party. We love the gifts, but please next year, give us a heads-up that you are bringing a donation. A big thanks to those volunteers who signed up for 2 hour shifts and stayed longer.
Credit cards were a big hit. Sixty-five percent of sales were charged. Thanks to Captain's Cove for supplying the credit card means.
We sold 469 armbands. This is our best record of sales. Generally, the number of people who attend is double the amount of armbands sold.
Campsite decoration contest –Pete Arnold won for nighttime decoration. Amanda Witzens, Bob & Sue Cvitkovich won for daytime decoration. Each group won a campsite for next year. Pete donated his spot back to the club.
We did loose regular attendees this year – OMBAC due to the Coming Out Party, and LA/Orange County club members due to a wedding of an LA County board member. But the Zonies returned since their big event (in April) did not conflict with ours.
Campland loves us. They send Janice a thank you email by the end of that Saturday. And they are already asking for our dates next year.
And a huge thanks to all of the bands. They donated their time. But we probably will pay our musicians next year.
We had 152 volunteer positions. Forty-five were not filled at the start of Sat morning and people filled them up. We had 100% in beer serving and security!!
A big thanks to Debra, Angie, and Brent who were in there the entire day from 9am to 7pm. And thanks to Rick to mixing margaritas for 2 hours in the morning to get us ready for the opening of the party.
Raffle team Tracy ran the raffle. John and Stephanie ran membership. Both groups were under one tent. We did $3600 in raffle, just $32 under our record.
Merchandise Team Nan and team ran merchandising. We made $768 in used shirts. We made $3000 in club and pirate shirts. We still have some limited stock for sale. The area was busy all day long.
Security Jim Clain ran security – a 13 hour shift. And he did a great job!! And he handed out t-shirts to volunteers.
Tips We didn't push for tips in the beer garden. So tips were down. We collected $433, but last year we collected over $700. We raised $124 for pirate pictures, done by Sue, Bob, and Amanda.
Lou, Bob, Sharon, and Janice – Pre-planning They start 3-4 months planning logistics. And the month before, they spend their weekends organizing the merchandise, raffle, and silent auction items. And on top of this Bob and Sharon are organizing all of the ticket sales. A huge thank you for all of their work.
Bottom Line to Monarch School: $3700 in donation directly to Monarch school
$16,300 in donations from SDPHC
So this event raised $20,000 for the Monarch school.
This even cost us $4,153 dollars this year. The reason the cost is so low is that the musicians donate their time. Rock Bottom donates the 8 kegs of beer. And Lou negotiates the heck out of prices from many of our vendors.
Treasurer's ReportFull summary in November, but a brief summary tonight—
After our deposits yesterday, we have $15,900 in our account. We owe $1500 to our accountant. We are still collecting for a few for concert tickets. After all of the deposits, and then writing a check to the Monarch school, we'll have $5,900 in our account, which is where we should be.
This Sunday – Oct 15thPancake breakfast in OB to benefit the Christmas Food and Toy drive for families in SD. It's from 7am-11am on Sunday on the OB Pier. It's for $8 and Gary Seiler is playing. Tickets are for sale that day in OB at local merchants or the front of the pier.
OB Christmas Parade – December 2ndWe need to decide if we want to participate or not. Last year Dan Nutt organized it. Jeannie and Phil also provide a lot of support. But not too many more people showed up. We did not have a good showing. So are we going to do it this year? If so, someone needs to take charge and enough need to commit. We do this right or not at all. The people who have spearheaded in previous years cannot take charge. So we need someone to chair it. Robert Magliones and Dan Nutt may co-chair it. We need to organize before our next meeting in November. The theme this year is a Storybook Christmas. Some potential logistic problems. In the past, we used Biff Glass or the Myers' & Nutt's home. We don't have Biff's anymore and may not have the Myers'/Nutt home. We could dress ourselves up and not build a huge float.
